Delete: The mailbox ceases to exist. People who send messages to it will be notified that the message wasn’t delivered because this mailbox no longer exists.
Disable: The mailbox continues to exist. This mailbox will show up in address lists, and will still receive mail, but it becomes impossible to log in to actually see this mail.
Forward: The mailbox ceases to exist. Messages sent to it will instead be delivered to a different mailbox. People sending messages will not be notified that this is happening unless you manually notify them.

Important Note: No matter which option you choose, all messages this mailbox has ever sent or received are permanently preserved in our public records archiver.

⚠️ Just making sure… ⚠️

Disabling a mailbox does not stop it from receiving mail, it only stops anyone from being able to log in to that mailbox and see the mail in it.

If there is some reason for us to still keep receiving and storing email for a mailbox that nobody can check, “Disable” is the correct option, (for example, if someone is on temporary leave, and you don’t want them to be able to check their mail, but you do want their mail to still keep going into their mailbox while they’re gone) otherwise you may want to select “Delete” or “Forward” instead.

Delete: The user ceases to exist. Storage space consumed by their network drive and email can be reclaimed. User will no longer show up in the email address book. User can be recreated in a matter of seconds if needed. If this user will not be returning to work, delete is the correct choice.
Disable: The user continues to exist. This user will still show up in user lists, will continue to receive mail (even if forwarded), will still appear in the email address book, and everything else similar to this. Disabling forces a “password incorrect” screen when attempting to log in, and nothing more. If a user is only leaving temporarily, and your goal is “don’t let them log in now, but do let them log in eventually later”, this is the correct choice.

Important Note: No matter which option you choose, all email messages this employee has ever sent or received are permanently preserved in our public records archiver. Deleting an account or mailbox in no way interferes with maintaining public record.

⚠️ Just making sure… ⚠️

Disabling an account ONLY prevents this user from logging in by telling them their password is incorrect, and does nothing else.

This user will still show up in email address lists, this user will continue to receive mail, this user will continue to use space and processing power on the mail and authentication servers, etc.

Disabling an account should only be used if you are certain that someone will be returning to work, and you just want to stop them from logging in for now.

⚠️ Just a heads up… ⚠️

You previously chose to disable the mailbox, but delete the account. This isn’t possible.

The mailbox is contained in the account, so deleting the account will also delete the mailbox. As previously mentioned, deleting a mailbox does NOT delete the content of the messages that were in the mailbox, all message contents are preserved.

If we still need to receive mail at the employees email address, it should be forwarded to someone else.
